Finance Manager

Reports To: Chief Strategy Officer (CSO)

  • 1st shift: 5:00 am – 1:30 pm
  • 2nd shift: 1:30 pm to 10 pm

Hours:

20 hours per week either in the office or remotely, with a minimum of working in the office once per week.

Compensation:

$45 to $60 an hour, based on experience

The Mailworks is a woman owned family business specializing in the creation and distribution of direct mail campaigns for a nation-wide customer base. The Mailworks operates 24 hours a day, usually 6 days a week. The team of 90+ employees range from executives, marketing specialists, designers, developers, and production workers.  

The Finance Manager will be responsible for the comprehensive management of company finances, encompassing daily bookkeeping tasks and strategic financial analysis to guide the company’s financial strategy. This role demands a proactive approach to improve bookkeeping efficiency and financial transparency in close collaboration with the CSO, CEO, and other key stakeholders.

Duties:

  • Oversee the schedule of financial tasks as outlined in the Accounting Process Manual and Accounting Calendar. 
  • Collaborate with the Executive Assistant Bookkeeper on up-to-date and industry best practices, as it relates to Accounts Receivable, Accounts Payable, InterCompany Accounting, Customer and Employee Commissions, and other bookkeeping responsibilities, while also following specific SOPs as outlined in the Accounting Process Manual.
  • Review accounts monthly to identify opportunities for savings and areas of concern.
  • Prepare department budgets and review monthly with key stakeholders to ensure they are aware of the current standing. 
  • Prepare and manage General Ledger Journal Entries, ensuring accuracy and compliance with accounting standards and company policies.

REPORTING

  • Prepare and present monthly Company Scorecards, financial statements, budgets, and other detailed reports by no later than the 25th of the next month.
  • Host financial review meetings with executives, providing insights into financial trends, areas of concern, and opportunities for savings.
  • Create on-demand detailed financial reports based on CEO requests with CSO guidance.

COLLABORATE with 3rd PARTY ACCOUNTANT

  • Collaborate with our external accounting firm for financial statement preparation, tax planning, and estimates​​.
  • Work with the CSO to ensure accurate and timely financial statements are ready to be reviewed with the accounting firm.

PROJECT MANAGEMENT & EXECUTION

  • Assist in special projects with the Accountant, CSO, and/or CEO.
  • Assist in strategic financial planning and execution of long-term financial goals.
  • Assist the CSO with efficiency projects to streamline accounting functions

Required Skills/Abilities:

  • Minimum of 6+ years in a senior accounting or finance manager role.
  • Mastery of bookkeeping best practice and procedures.
  • Proficient in Quickbooks Desktop, MS Excel, Google Sheets, and other systems that aid in the accounting process.
  • Knowledge in online accounting tools to aid in the accounting process.
  • Strong analytical, organizational, and time management skills.
  • Excellent communication and interpersonal abilities.
  • Detail-oriented with a strategic mindset.
  • Possess an unwavering commitment to safeguarding sensitive financial data, ensuring strict confidentiality and integrity in handling all information.

  • Provides accurate, timely reports: Ensure financial statements and reports are accurate, reflective of the company’s financial status, and delivered within established deadlines, contributing to informed decision-making and operational efficiency. Meets deadlines and due dates as outlined by CSO. 
  • Proactively monitors company financial health: Continuously analyzes the company’s financial performance, identifying and acting on opportunities and risks promptly to maintain and enhance financial health.
  • Provides strategic insight to enhance various projects: Provides valuable financial insights that significantly contribute to the success of strategic projects, demonstrating an understanding of how financial nuances impact broader company goals.
  • Drives cost reduction and operational efficiency: Identifies and implements cost reduction strategies and operational improvements that lead to savings and more streamlined financial processes without compromising quality.
  • Forecasts strategic financial planning: Plays a critical role in the company’s long-term financial strategy, providing accurate forecasts and strategies that contribute to sustained growth and stability.
  • Oversees timely management of monthly, quarterly, and year end accounting tasks:  Ensures that all accounting activities internally and externally are completed on schedule and with ample time for proper reporting and necessary adjusting.
