Controller
Reports To: Vp of Administration
- 1st shift: 5:00 am – 1:30 pm
- 2nd shift: 1:30 pm to 10 pm
Hours:
Monday – Friday, 8:30AM – 5:00PM, onsite
Compensation:
$120,000 – $150,000, based on experience
The Mailworks is a woman-owned, family-run business specializing in results-driven direct mail campaigns for a nationwide client base. With 40+ years of experience and over 90 professionals across strategy, design, production and technology, we combine deep industry knowledge with modern tools to help businesses grow. We produce and deliver 96M+ pieces annually from our in-house facility and are transforming the direct mail space through innovation, service, and our proprietary software platforms.
We are building a strong and forward-thinking finance team to support The Mailworks’ continued growth and innovation. The Controller will serve as a key member of our leadership team, managing internal and external financial resources, and providing the strategic insight necessary to ensure financial health and scalability. This position will have the authority to assess and determine the future structure of our internal finance department.
This is a hands-on leadership role for a mid- to senior-level professional ready to grow into a senior executive position. The Controller will oversee the company’s financial operations, manage internal finance staff, external accountants, and consultants, and serve as the financial leader driving accurate reporting, compliance, and strategic financial planning.
Supervisory Responsibilities: Direct oversight of the internal finance department, financial consults, and external accounting firm.
Duties:
LMA
- Lead, manage, and hold accountable all direct reports, including internal finance staff, external accountant, and finance consultant(s).
- Manage Accountant, Finance Consultant(s), and internal finance resources and future finance hires.
- Provide leadership and mentorship to finance team members.
- Partner with department heads to ensure financial alignment with operational goals.
- Build strong relationships with internal stakeholders and external financial partners.
Financial Leadership & Strategy
- Serve as the company’s in-house financial authority, reporting to the VP of Administration but collaborating directly with the CEO and CSO.
- Lead the development, execution, and monitoring of The Mailworks’ financial strategy.
- Work with executive leadership to assess the viability of investment and growth initiatives, ensuring the operation stays profitable.
- Provide timely, accurate, and actionable financial insights to guide leadership decision-making.
- Monitor cash flow, capital planning, and overall financial health.
Financial Operations Oversight
- Oversee daily accounting operations including accounts payable, accounts receivable, payroll, intercompany transactions, and general ledger maintenance.
- Ensure the accuracy and timeliness of all financial statements, budgets, and forecasts.
- Manage monthly, quarterly, and year-end close processes, ensuring deadlines are consistently met.
- Oversee sales tax compliance, including ensuring proper collection, reporting, and remittance using Avalara Sales Tax software.
External & Internal Collaboration
- Direct collaboration with the external accounting firm for audits, tax planning, and annual filings.
- Manage and evaluate relationships with financial consultants, auditors, and banking partners.
- Participate in executive leadership meetings and contribute to long-term planning.
- Manage relationships and process for financial investments such as equipment purchases, loans, etc.
Process Improvement & Systems Management
- Evaluate and improve financial systems, tools, and reporting processes for greater efficiency.
- Ensure compliance with GAAP and applicable federal, state, and local laws.
- Implement best practices in internal controls and risk management.
- Ensure all processes are clearly defined.
- Ensure all meetings and financial decisions are documented with notes sharable to key parties.
Required Skills/Abilities:
- Bachelor’s degree in Accounting, Finance, or related field; CPA preferred but not required.
- 6+ years in progressively responsible accounting or finance roles, including leadership experience.
- Mastery of accounting principles, financial reporting, and compliance.
- Proficiency in QuickBooks Online, MS Excel, Google Sheets, and accounting systems.
- Strong leadership, analytical, and communication skills.
- Proven ability to manage multiple priorities in a fast-paced environment.
- Commitment to confidentiality and integrity in handling sensitive financial data.
